The Opportunity

Mawer Investment Management is seeking a detail-oriented and customer-focused individual to fill the role of Receptionist. As the first point of contact for office visitors, this position requires a self-assured and team-oriented professional who can provide exceptional service and support to employees, visitors, and clients.

Key Responsibilities

  • Provide general reception duties, including answering phones, checking for faxes, and greeting employees and visitors.
  • Enter and track building maintenance requests, ensuring timely completion and follow-up.
  • Ensure all floor plans are up-to-date and accurate, reflecting changes and updates.
  • Assist with booking meeting rooms and coordinating logistics for events and meetings.
  • Coordinate the setup and catering for Board Meetings, ensuring a seamless and professional experience.
  • Support with expense reports, ensuring accuracy and timely submission.
  • Manage access cards for employees and visitors, reconciling passes and ensuring security protocols are followed.
  • Maintain the reception manual, ensuring it is up-to-date and accessible to all employees.
  • Perform other administrative duties as assigned to support various departments and teams.

Desired Qualifications

  • 5+ years of reception experience in an office professional environment.
  • Excellent verbal and written communication skills, including spelling, grammar, and proofreading.
  • Proficiency in Microsoft Office Suite, specifically Excel and Word, with Microsoft Office Teams an asset.
  • Proven ability to perform administrative duties with professionalism, accuracy, and attention to detail.
  • Proven time management, prioritization, and organizational skills, with the ability to work independently and accomplish goals within agreed-upon deadlines.
  • Service-focused with an approachable demeanor and a calm, positive attitude under pressure.
  • Demonstrates flexibility and a positive, "can-do" attitude, with a willingness to step in and help wherever needed.
  • Superior respect for confidentiality and confidential matters, with a commitment to maintaining the highest level of discretion.
  • Seeks continuous improvement and proactively identifies opportunities for growth and development.
  • Ability to adapt to changing priorities and work schedules as required.
