Job Summary:

The Mutual Fund Registration Support Specialist will facilitate and support initial, reactivation, and reinstatement applications for mutual funds licenses. This role will be responsible for following up and documenting National Registration Database (NRD) submissions, including outside business activity (OBAs), address updates, financial disclosures, etc.

Responsibilities:

  1. Enter and record mutual fund registration terminations in the system and notify necessary parties.
  2. Perform NRD annual renewals.
  3. Participate in the Annual Disclosure process.
  4. Update of NRD training documentation.
  5. Update of various internal systems.
  6. Respond to inquiries from field, internal, and external staff and regulatory bodies.
  7. Provide administrative support to field agents, and internal and external staff.
  8. Follow file management and record management procedures.
  9. Draft standard and non-standard correspondence as required.
  10. Initiate and participate in process and database improvements.
  11. Act in a registration support capacity for the Compliance department.
  12. Support projects and audits as requested.

Qualifications:

  1. Two years of experience in an administrative support or related role.
  2. Excellent written and verbal communication skills.
  3. Interpersonal and customer service skills to build relationships with internal and external contacts.
  4. Excellent organizational and multi-tasking skills.
  5. Attention to detail.
  6. Ability to work independently and as part of a team in a fast-paced environment.
  7. Proficiency using MS Excel, Word, Outlook, PowerPoint.

Preferred Qualifications:

  1. Post-secondary education in a business field.
  2. Experience in the insurance and/or mutual fund industry.
  3. Experience with National Registration Database (NRD).

Working Conditions:

  1. Office or hybrid office/remote environment.
