Job Description:

We are seeking a highly skilled Travel Logistics Coordinator to join our team at Horizon North. As a key member of our logistics department, you will be responsible for coordinating the full-cycle transportation of employees traveling to and from our site locations in areas including Northwestern Ontario, Manitoba, and Nunavut.

Responsibilities:
  • Travel Arrangements: Organize and communicate travel arrangements for employees from point of origin to site locations, including air travel, hotel accommodations, and ground transportation.
  • Request Escalation: Escalate any traveler requests or concerns to the appropriate supervisor or manager.
  • Return-to-Work Emails: Send return-to-work emails to all scheduled staff and ensure site requirements are met through the monitoring of returned Fit For Work forms.
  • Travel Platform Management: Use corporate travel platform to book various types of travel, including hotel, flights, car rentals, etc., while minimizing cost to the company.
  • Itinerary Preparation: Prepare travel itineraries and distribute travel arrangements and schedules to all scheduled drivers.
  • Driver Management: Organize drivers: scheduling, preparing travel routes and instructions, and maintaining an up-to-date driver's manifest of staff traveling in and out of each site.
  • Vehicle Inventory: Maintain an inventory of company vehicles.
  • Safe Journey Management: Coordinate safe journey management plans.
  • Invoicing: Create and submit purchase orders.
  • Logistics Support: Provide support to the logistics team as required.
  • On-Call Support: Offer on-call and weekend support as needed.
  • Dispatch Services: Maintain point of contact/dispatch safety services with drivers and transportation vendors.
  • Compliance: Adhere and maintain compliance with Dexterra Group and Horizon North policies and procedures.
  • Health and Safety: Ensure that workplace health and safety requirements are upheld.
  • Travel Records: Maintain accurate and up-to-date travel records using internal tools and software.
Qualifications:
  • High School Diploma: High school diploma required; some higher education preferred.
  • Valid Driver's License: Valid G-class driver's license with a clean driver's abstract is required.
  • Travel Software Experience: Previous training and experience with ELITE or similar travel software highly preferred.
  • Communication Skills: Excellent verbal and written communication skills.
  • Travel Industry Knowledge: Strong working knowledge of the travel industry.
  • Decision-Making: Excellent decision-making skills with the ability to assess multiple options and identify the best choice to serve a specified goal.
  • Organizational Skills: Excellent organizational skills and attention to detail.
  • Software Proficiency: Proficient with Microsoft Office Suite or related software.
