Job Summary

The Administrative Coordinator provides essential administrative support to ensure efficient operation of the office. This role involves performing a variety of tasks including managing schedules, organizing meetings, maintaining records, and handling correspondence. The Administrative Coordinator serves as a point of contact for internal and external stakeholders and ensures that all administrative activities are carried out in a timely and effective manner.

Key Responsibilities
• Responding promptly to external and internal customer inquiries.
• Communicating with customers through various channels, including emails and phone calls.
• Problem-solving and resolving customer complaints.
• Managing customer accounts, including opening and modifying accounts, processing orders, and creating quotations.
• Coordinating with operations on deliveries and inquiries.
• Analyzing pricing, invoices, and discrepancies, and creating adjustments accordingly.
• Working on accounts receivable, including communicating with customers on collection payment defaults and analyzing invoices to create debit and credit memos.
• Monitoring on-time delivery and communicating with customers.
• Analyzing inventory levels, forecasting, purchase orders, and incoming inventory, and creating reports such as order confirmations, forecasts, and volumes.

Requirements
• 2 years of experience in sales/customer service.
• High school diploma or equivalent.
• Fluency in written and spoken French and English.
• Understanding of the sales process and dynamics.
• Experience using computers for various tasks.
• Competency in Microsoft applications, including Excel.
