About the Role

This is an exciting opportunity to join the Student Services department at SAIT as a Study Abroad Program Coordinator. In this role, you will be responsible for providing administrative and logistical support for various Study Abroad initiatives, including inbound and outbound semester exchanges, hosting international delegations, and developing virtual learning opportunities.

Key Responsibilities

  • Student Semester Exchanges
    • Collaborate with partner institutions to ensure the successful development, promotion, and implementation of semester exchange programs.
    • Ensure that all logistics are in place for sending and receiving students through semester exchanges, including course mapping, admission, inbound and outbound orientation, etc.
    • Provide training to students, staff, and faculty participating in semester exchanges, virtual initiatives, and inbound trips.
    • Deliver pre-departure and post-departure training for SAIT semester exchange students.
    • Provide ongoing support for both inbound and outbound semester exchange students while they are on their exchange.
  • Hosting International Delegations and Students
    • Act as host to international delegations from external post-secondary institutions.
    • Provide logistical and administrative support for international delegations, including transportation, accommodations, gifting, cultural activities, and scheduling with SAIT stakeholders.
    • Project manage all GEN initiatives that happen on SAIT's campus and ensure that they are delivered in a timely manner.
  • Virtual International Opportunities
    • Implement virtual international opportunities of various types, including COIL, GEN virtual service learning, GEN virtual competitions, etc.
    • Promote and collaborate with SAIT's academic schools to provide online international opportunities with other post-secondary institutions.
    • Research possible virtual opportunities to present to academic chairs.
    • Provide logistical support for academic chairs and faculty.
  • Data, Assessment, and Reporting
    • Track attendance and satisfaction reports for all areas within Study Abroad.
    • Ensure that the student mobility software is up to date with all the initiatives within Study Abroad.
    • Maintain accurate record keeping of all students who participate in any aspect of Study Abroad, including outbound and inbound students, the trips they participate in, and the times of travel.
  • Promotions, Communications, Networking, and Marketing
    • Meet and collaborate with internal and external stakeholders to arrange semester exchanges, inbound trips, hosting, and virtual opportunities.
    • Update SAIT's website and intranet with current Student Engagement program information for all Study Abroad initiatives.
    • Promote programs through online and in-person information sessions, including SAIT events, school presentations, information sessions, and pop-up booths.
    • Work with XDOCS to design, print, and distribute promotional collateral.
    • Liaise and collaborate with the Study Abroad Project Manager to ensure all areas within Study Abroad are covered.

Qualifications and Experience

  • Minimum:
    • An undergraduate degree in a relevant area, such as Liberal Arts, Education, or Business.
    • 3-5 years' experience planning, coordinating, and managing multiple projects.
    • Must be able to travel and have the appropriate identification and travel documentation.
    • Considerable international travel experience.
    • First-hand experience participating in study abroad as a student or trip leader.
    • Availability to coordinate and deliver programming on evenings and weekends as needed.
    • Needs to travel internationally for 2-4 weeks per year.
  • Preferred:
    • A graduate degree in a relevant area.
    • 3-5 years working in a post-secondary institution in a progressively responsible position.
  • Skills Required:
    • Customer Service Mentality.
    • A self-starter with a passion for supporting and engaging students.
    • Excellent interpersonal and organizational skills.
    • Flexibility to work with others and change direction as required.
    • Strong written and oral communication skills, including experience in public speaking.
    • An ability to relate to students and build positive relationships.
    • An ability to deal with tight deadlines and manage stress effectively.
    • Excellent time management skills.
