Job Summary

As an Administrative Assistant at Capital city cleaners, you will play a vital role in ensuring the smooth operation of our office. Your primary responsibility will be to provide administrative support to our team, including tasks such as scheduling appointments, managing contracts, and maintaining office supplies.

Key Responsibilities

- Evaluate daily operations to identify areas for improvement
- Motivate staff to achieve their best performance
- Plan and control budget and expenditures to ensure efficient use of resources
- Determine and establish office procedures and routines to maintain a productive work environment
- Schedule and confirm appointments with clients and stakeholders
- Manage contracts and agreements with vendors and suppliers
- Answer telephone and relay telephone calls and messages to the relevant personnel
- Answer electronic enquiries and respond to employee questions and complaints in a timely and professional manner
- Order office supplies and maintain inventory to ensure a well-stocked office
- Set up and maintain manual and computerized information filing systems to ensure accurate and up-to-date records
- Perform data entry tasks to support the team's administrative needs
- Provide customer service to clients and stakeholders, responding to their inquiries and concerns in a professional and courteous manner
- Work with the marketing department to understand and communicate marketing messages to the field
- Conduct performance reviews to evaluate employee performance and provide feedback for improvement
- Supervise office and volunteer staff to ensure they are meeting their responsibilities and contributing to the team's goals

Requirements

- 1 year to less than 2 years of experience in an administrative role
- Secondary (high) school graduation certificate
- Ability to work on site, with no option to work remotely
- Strong communication and interpersonal skills, with the ability to work effectively with staff, clients, and stakeholders
- Ability to prioritize tasks and manage multiple projects simultaneously
- Strong organizational and time management skills, with the ability to meet deadlines and achieve goals
- Proficiency in Microsoft Office and other administrative software
