Job Summary:

The Office Manager will be responsible for overseeing the day-to-day operations of the office, ensuring that all administrative tasks are completed efficiently and effectively. This includes managing the office budget, supervising staff, and coordinating office services.

Key Responsibilities:
  • Implement new administrative procedures and review existing ones to ensure they are up-to-date and effective.
  • Delegate work to office support staff and establish work priorities to ensure procedures are followed and deadlines are met.
  • Carry out administrative activities of the establishment, including data entry, report preparation, and correspondence.
  • Co-ordinate and plan for office services, such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services.
  • Assemble data and prepare periodic and special reports, manuals, and correspondence.
  • Perform data entry and train staff as needed.
  • Oversee and co-ordinate office administrative procedures, resolve conflict situations, and monitor and evaluate office performance.
  • Provide clients with information and order supplies and maintain inventory.
  • Manage routine office functions, including reception, telephone, and booking appointments.
  • Invoice clients and contact contractors for repairs and maintenance of the establishment.
  • Enter client information in databases.
Requirements:
  • 3 years to less than 5 years of experience in a similar role.
  • First Aid Certificate.
  • Proficiency in Microsoft Office, including Excel, Word, and Outlook.
  • Experience with QuickBooks and SharePoint is an asset.
  • Excellent oral and written communication skills.
  • Ability to work independently and as part of a team.
  • Ability to multitask and prioritize tasks effectively.
  • Reliability and flexibility.
