Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at Canadian Bank Note. In this role, you will be the first point of contact for employees, executives, customers, and other visitors to our office.

Key Responsibilities

  • Manage the front desk, including greeting visitors, directing them to the appropriate locations, and answering basic inquiries.
  • Issue visitor badges and maintain a visitor log to ensure security protocols are followed.
  • Ensure the reception area is tidy, organized, and professional in appearance at all times.
  • Handle incoming calls and direct them to the appropriate individual or department, take accurate messages when necessary, and relay the information in a timely manner.
  • Provide information about the company and any relevant policies and procedures in a clear and professional manner.
  • Perform various clerical duties, including scheduling appointments, managing conference room bookings, and coordinating catering for on-site meetings and events.
  • Manage incoming and outgoing mail and packages, including signing for deliveries and ensuring they reach the correct recipients.
  • Manage inventories of common room consumables, such as snacks and coffee pods.
  • Provide periodic bilingual customer service support for our BUMP business unit.

Requirements

  • College diploma in administration or an equivalent combination of education and relevant work experience.
  • 1 year of reception or other administrative support experience.
  • Customer support experience is an asset.
  • Fluency in English and French.
  • Ability to obtain and maintain Government of Canada Reliability (Level I) personal security clearance.
