Administrative Assistant to Executive Director, Indigenous Health

Job Summary
The Administrative Assistant to the Executive Director, Indigenous Health provides complex administrative and secretarial support to the Executive Director and assists with the activities of the Indigenous Health program.
Key Responsibilities
- Provide administrative support to the Executive Director, including managing the day-to-day operations and resolving problems to ensure accurate and timely delivery of administrative services.
- Coordinate the flow of information, maintain confidentiality, and interact with senior leaders, managers, and administrative staff to convey information and professionally represent the interests of the programs and departments.
- Attend and record senior management meetings, arrange travel and accommodation, coordinate meeting logistics, and submit HR and Finance information.
- Design, create, and maintain correspondence, documents, presentations, and spreadsheets for authorization by the management team.
- Process confidential and sensitive documents and draft and evaluate operating procedures for the assigned areas.
What You'll Do
- Maintain a consistently updated and accurate appointment schedule for the Executive Director and others as required.
- Coordinate meetings, ensuring well-defined and timely agendas, identification of and notification to interested parties, compilation of background information and supporting materials, and preparation of packages/summary documents to assist in decision making and meeting facilitation.
- Respond to verbal and written communication, liaise internally and externally, and screen requests and inquiries to provide a response and/or forward to the designated Leader or other senior staff for reply.
- Provide work direction and guidance to support staff as needed and check the work of others to ensure administrative needs of the area are met.
- Assist in budget development, monitor expenditures, ensure invoices are authorized to predetermined amounts, and analyze and report variances for multiple departments/programs.
