Job Summary:
The Service Writer position at Canada West Harvest Centre Inc. is responsible for creating, managing, and invoicing all customer and internal work orders. This role also involves administering, processing, and authorizing warranty claims based on the manufacturer's criteria.
Key Responsibilities:
- Accurately complete documents required to process work order claims and forward them to the customer and manufacturer.
- Ensure amounts billed to customers are correct and follow up with customers to ensure timely payment.
- Open and close customer, internal, and warranty work orders in a timely manner.
- Regularly review and follow up on work orders and claims to obtain prompt payment.
- Review technician time to ensure all time is approved by management and submitted to payroll in a timely manner.
- Review all work orders and prepare them for final review by the Service Manager.
- Process warranty work orders for submission in accordance with company and manufacturer guidelines.
- Responsible for the verification of manufacturer's criteria for warranty.
- Ensure amounts claimed correspond to the criteria of the manufacturer.
- Responsible for the authorization and timely release of all warranty claims for the dealership.
- Analyze claims denied by the manufacturer and, if applicable, resubmit timely.
- Complete supplemental claims to ensure maximum warranty recovery.
- Review claims exceeding the last labor date required by the manufacturer.
- Provide accounting with documents required to process corresponding paperwork.
- Review and complete goodwill agreements as approved by the Service Department Lead.
- Ensure defective parts are returned to the manufacturer in a timely manner.
- Responsible for the timely processing of all Claim Discrepancy Reports.
Requirements:
- High school diploma or equivalent, required.
- 5+ years' job-related experience, highly desired.
- Excellent customer service skills.
- Proven exceptional written and oral communication skills.
- Proficient with the usage of Microsoft Office Suite.
- Strong attention to detail and well-organized.
- Strong ability to multi-task and follow through with defined tasks.
- Ability to handle stressful situations professionally.
- Strong English language skills, required.
- Working knowledge of CLAAS machinery, a plus.
- Farm background highly desirable.
- Valid driver's license with a verifiable safe driving history.
- Ability to travel as needed.
