Service Writer

At Canada West Harvest Centre Inc., we are seeking a highly skilled Service Writer to join our team. As a Service Writer, you will play a critical role in creating, managing, and invoicing customer and internal work orders, as well as administering and processing warranty claims.
Key Responsibilities:- Accurately complete documents required to process work order claims and forward them to customers and manufacturers/suppliers.
- Ensure amounts billed to customers are correct and follow up with customers to ensure timely payment.
- Open and close customer, internal, and warranty work orders in a timely manner.
- Regularly review and follow up on work orders and claims to obtain prompt payment.
- Review technician time to ensure all time is approved by management and submitted to payroll in a timely manner.
- Review all work orders and prepare them for final review by the Service Manager, ensuring accuracy in parts, labor, and time segments.
- Process warranty work orders for submission in accordance with company and manufacturer guidelines.
- Verify manufacturer or supplier criteria for warranty and ensure amounts claimed correspond to the criteria.
- Authorize and timely release of all warranty claims for the dealership.
- Analyze claims denied by the manufacturer/supplier and resubmit timely.
- Complete supplemental claims to ensure maximum warranty recovery.
- Review claims exceeding the last labor date required by the manufacturer.
- Provide accounting with documents required to process corresponding paperwork (amounts received, payments, and credits for warranties).
- Review and complete goodwill agreements as approved by Service Department Lead(s).
- Ensure defective parts are returned to the manufacturer/supplier in a timely manner.
- Process all Claim Discrepancy Reports (CDRs) in a timely manner.
- High school diploma or equivalent, required.
- 5+ years' job-related experience, highly desired.
- Excellent customer service skills.
- Proven exceptional written and oral communication skills.
- Proficient with Microsoft Office Suite.
- Strong attention to detail and well-organized.
- Strong ability to multi-task and follow through with defined tasks.
- Ability to handle stressful situations professionally and maintain constructive working relationships.
- Strong English language skills, required.
- Working knowledge of CLAAS machinery, a plus.
- Farm background highly desirable.
- Valid driver's license with a verifiable safe driving history/ability to safely operate a motor vehicle.
- Ability to travel as needed, may require some overnight travel and weekend or evening work.
