Job Summary

The Residence Facility Coordinator is a key role within UW Residences, responsible for managing facility and security-related issues. This position provides initial assessment and coordination of work orders, ensuring timely and efficient resolution of issues.

Key Responsibilities

Evaluation and Assessment

  • First point of contact for facility issues, including safety and security concerns
  • Responsible for addressing and triaging reported issues, investigating and assessing risk as necessary
  • Collaborate with other departments to coordinate short-term and long-term solutions

Operations Management: Maintenance

  • Responsible for administration of the work order system, HoME
  • Track workflow of work orders and requests, utilizing data for analysis and improvement
  • Understand key systems and manage access control

Analysis and Planning

  • Responsible for planning cyclical tasks associated with maintenance processes
  • Assist with unit's spring term plan to accommodate preventative maintenance needs
  • Analyze trends from breakdowns and make recommendations for preventative measures

Customer Service

  • Provide excellent customer service to stakeholders, including students and staff
  • Ensure timely response and follow-through to resolve issues
  • Work closely with other Housing and Operations teams to ensure collaboration and efficiency

Fiscal Management

  • Ensure residence facilities and services are well-preserved and replacements/repairs are planned and coordinated
  • Provide input to the budget for future considerations
  • Responsible for all fiscal transactions and decisions up to $300K per community

Operations Management: Safety and Security

  • Responsible for management of key-related functions, including audits and permit administration
  • Attend scheduled safety walks and satisfy departmental safety initiatives
  • Assist with planning and implementing new safety/security processes

Qualifications

  • College diploma in Office Administration, Business Administration, or related discipline
  • Valid class G driver's license with a good driving record
  • Minimum 1 year experience in office work environment
  • Demonstrated experience with customer relations, record keeping, facilities management, and purchasing
