The RBC Dominion Securities branch located in Orillia is seeking a highly skilled and detail-oriented individual to join our team as an Administrative Assistant.

By providing exceptional service and support to our clients and our Advisor team, you will help our team deepen existing relationships and welcome new clients to the firm. Offering efficient internal support, you will be invaluable in ensuring the Advisory team functions fluidly and that each member receives the assistance they need to perform at their best.

What will you do?

  • Deliver exceptional client experience through the execution of client account administration, including account opening, account maintenance, and efficient resolution of client requests.
  • Maintain existing client accounts and identify opportunities to contact clients, ensuring timely and accurate management of account timelines and key dates.
  • Become well-versed in internal controls and industry regulatory requirements, ensuring client files and other necessary documentation is accurate, up-to-date, and compliant.
  • Respond to client inquiries in a timely and understanding manner, addressing account transactions, requests, account documentation, and account reporting.
  • Assist the Advisor team in welcoming and onboarding new clients, providing a seamless and personalized experience.
  • Leverage your organizational skills to coordinate and prepare meetings for Advisors with their clients/prospects.
  • Utilize your problem-solving skills to provide proactive client service, addressing client concerns and resolving issues efficiently.
  • Effectively manage incoming communications from clients, Advisors, and other internal and external partners, ensuring timely and accurate response.
  • Update the team's communication channels, including websites, LinkedIn, Facebook, brochures, and newsletters, to ensure accurate and up-to-date information.

Must-have

  • Strong skills in working with various business applications/technology, including proficiency in Microsoft Office and other relevant software.
  • High level of time management and organization skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Demonstrated skills in providing world-class client service, with a focus on professionalism, warmth, and friendliness.

Nice-to-have

  • Completion of the Canadian Securities Course (CSC) and Conduct & Practices Handbook (CPH), demonstrating a strong understanding of industry regulations and best practices.
  • Knowledge of RBC Dominion Securities' systems and procedures, with the ability to navigate and utilize them effectively.
  • Experience in the securities industry, with a strong understanding of the sector and its challenges.
