Job Description

We are seeking a highly skilled and detail-oriented Office Assistant to join our team at HARIS FAROOQ CANADIAN IMMIGRATION CONSULTANT INC. As an Office Assistant, you will play a vital role in providing administrative support to ensure the smooth operation of our office.

Key Responsibilities:
  • Type and proofread correspondence, forms, and other documents with attention to detail and accuracy.
  • Receive and forward telephone or electronic inquiries in a timely and professional manner.
  • Sort, process, and verify applications, receipts, and other documents with precision and speed.
  • Process incoming and outgoing mail manually or electronically, ensuring prompt delivery.
  • Send and receive messages via email or phone, maintaining effective communication with clients and colleagues.
  • Perform basic bookkeeping tasks, including invoicing and banking, with accuracy and efficiency.
  • Provide general information to clients and the public, answering questions and resolving issues in a courteous and professional manner.
  • Photocopy and collate documents for distribution, mailing, and filing, maintaining organized and tidy workspaces.
  • Enter data into various systems, ensuring accurate and up-to-date records.
  • Label files according to retention and disposal schedules, maintaining confidentiality and discretion.
  • Retrieve documents from files, ensuring prompt delivery to authorized personnel.
Requirements:
  • 2 years of experience in an administrative role, preferably in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with clients, colleagues, and management.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office, particularly Word, Excel, and Outlook.
  • Able to maintain confidentiality and handle sensitive information with discretion.
Benefits:
