Optimize Wealth Management, a leading wealth management company in Toronto, is seeking an experienced Branch Administrator to support the transition process of new financial advisors.

As a key member of the Advisor Transition Team, you will be responsible for ensuring a smooth and efficient onboarding process, monitoring progress, and addressing any questions or concerns that may arise.

The ideal candidate will possess exceptional attention to detail, strong organizational skills, and excellent communication abilities. A minimum of 4-7 years of experience in a financial services or wealth management role is required. Additionally, familiarity with core aspects of wealth management and investment account types is essential.

Responsibilities include:

  • Assisting new advisors with onboarding and ensuring a seamless transition process
  • Monitoring and tracking the progress of transitions, ensuring milestones are met
  • Reviewing and validating transition-related documentation for accuracy and completeness
  • Acting as a point of contact for new advisors, promptly addressing their questions and concerns
  • Coordinating with various departments to ensure the setup of accounts and services for new advisors
  • Evaluating information from multiple sources, ensuring consistency and alignment with organizational standards
  • Following up on missing or incomplete documentation and providing progress updates to stakeholders

Requirements:

Must-have:

  • A minimum of 4-7 years of experience in a financial services or wealth management role
  • Exceptional attention to detail and organizational skills
  • Familiarity with core aspects of wealth management and investment account types
  • Strong communication skills with the ability to manage multiple priorities
  • Full-time, in-person availability

Nice-to-have:

  • Progress towards or completion of the Canadian Securities Course (CSC) or Chartered Investment Manager (CIM) designation
  • Experience in an advisor support or advisor transition role within the financial services sector
