About the Role:

We are seeking a highly organized and detail-oriented Petroleum Facilities Coordinator to join our Fleet Services Administration team. As a key member of our team, you will provide administrative support to ensure the smooth operation of our Fleet Maintenance Shop.

Key Responsibilities:

  • Provide accounting and administrative services to support the operations of the Fleet Maintenance Shop.
  • Process orders, purchase orders, invoices, freight bills, claims, supplier invoices, debits, and credits as required.
  • Review supplier invoices, check quantities, prices, discounts, and code and process invoices for payment.
  • Prepare and process journal entries, debit memos, and credit memos as required.
  • Set up spreadsheets and prepare daily, weekly, and monthly reports as required.
  • Process orders from local Co-ops and other customers for various parts and services for petroleum equipment and propane.
  • Prepare and charge out shop service mechanics' time and parts to appropriate work orders and bill to the appropriate party.
  • Be aware of and apply the rules for the application of provincial sales taxes, fuel taxes, and salaries by province.
  • Prepare purchase orders and place orders for special order petroleum parts shipped direct to local Co-op locations.
  • Responsible for warranty returns, dealing with suppliers and retailers on defective parts.
  • Other duties as assigned.

About You:

We are looking for a candidate with a high school education and 3 years of related experience. You should have strong interpersonal and communication skills, as well as a good working knowledge of Microsoft Word and Excel.
