Job SummaryWe are seeking a highly organized and self-driven HR and Office Administrator to support the People (HR) team and oversee the head office management at APMC. The successful candidate will be responsible for efficient, timely, and professional delivery of administration operations, including office management, administrative support, HR support, and communication and coordination.
Key Responsibilities- Office Management:
- Oversee day-to-day office operations to ensure a smooth and efficient working environment.
- Manage office supplies inventory and place orders as needed.
- Coordinate maintenance and repairs of office equipment and facilities.
- Handle incoming and outgoing mail and packages.
- Ensure the office is well-organized, clean, and presentable at all times.
- Administrative Support:
- Provide general administrative support to the team, including scheduling meetings, managing calendars, and preparing documents.
- Assist in organizing company events, meetings, and conferences.
- Maintain and update company records, databases, and filing systems.
- Support client success initiatives by organizing and delivering personalized gifts to large clients, important customers, vendors, and other key stakeholders.
- HR Support:
- Assist with the recruitment process, including posting job ads, scheduling interviews, and coordinating candidate communications.
- Support onboarding and offboarding processes for new hires and departing employees.
- Maintain and update employee records and HR databases.
- Help organize and maintain HR policies and procedures.
- Communication and Coordination:
- Serve as a point of contact for employees, ensuring effective communication and coordination.
- Liaise with vendors, service providers, and building management as needed.
- Assist in coordinating travel arrangements and accommodations for employees.
- Confidentiality:
- Handle sensitive and confidential information with discretion and professionalism.
- Proven experience (2+ years) in office administration and/or HR support roles.
- Experience as an HR assistant, staff assistant, or relevant human resources/administrative position.
- Basic knowledge of employment and labour law is an added bonus.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with HR software and databases is a plus.
- High level of integrity and professionalism in handling confidential information.
- A strong, collaborative, transparent approach with the ability to lead by example.
- Ability to work effectively both independently and within a team.
- Excellent verbal and writing skills; ability to produce clear, concise communications and documentation.
- Excellent time management skills and ability to work on concurrent assignments with different priorities while meeting deadlines.
