Job Description
We are seeking an experienced Proposal Coordinator to join our dynamic Civil East team. As a key member of our proposals team, you will play a crucial role in securing new business opportunities by developing compelling proposals that showcase our expertise and value proposition. Your attention to detail, organizational skills, and ability to work collaboratively with subject matter experts will be essential in ensuring proposal deliverables meet client requirements.
Key Responsibilities
- Develop proposal calendars and responsibility matrices
- Create proposal templates, resume templates, project sheet templates
- Format proposal, resume, and project sheets in preparation for proposal close-out
- Track proposal deliverables required from internal and external partners
- Research relevant statistics and project information to extract relevant content
- Gather and coordinate flow of information from subject matter experts to be used in proposals
- Ensure all proposal content is supplied by the team to ensure compliance with RFQs
- Prepare or edit key staff resumes, project sheets, and organization charts
- Organize and schedule team meetings, prepare meeting agendas, and take meeting minutes
- Print, package, and submit final bid/proposal submissions prior to deadline
- Manage document management systems (e.g., SharePoint, OneDrive)
- Data entry to maintain accuracy of pursuit reports and scheduling
- Track and report on Key Performance Indicators (KPIs) and other team objectives
Requirements
- Undergraduate degree in Business, Engineering, or equivalent experience
- 2+ years experience in proposals writing
- Strong communication and writing skills
- High degree of organizational skills
- Technical background with a discipline focus in Civil, Structural, related technical discipline, or construction experience - Major Asset
- Advanced skills in Adobe, Word, Excel, Visio, and PowerPoint
- SharePoint administration experience - Asset
- Marketing and design experience - Asset
- Data Entry experience - Required
