Job Summary:

The Portfolio Resource Coordinator is a key member of the Client Service Team at Paladin Security, responsible for ensuring seamless resource coordination and strategic scheduling support. This role requires proactive problem-solving, effective communication, and a strong understanding of operational processes.

Key Responsibilities:

  • Strategically identify open shifts and work with the Client Service Team to ensure complete schedules that meet contractual obligations.
  • Extend existing schedules in Paladin's WinTEAM scheduling software to ensure security guards are aware of their ongoing schedule three months in advance.
  • Collaborate with multiple stakeholders, including Site Supervisors, Security Guards, Scheduling Managers, Client Service Managers, and Senior Management, to ensure effective communication and coordination.
  • Ensure shift accuracy in WinTEAM and fill cancellations and openings in the daily schedule to minimize overtime pay outs.
  • Coordinate with Client Service Managers to ensure their staffing needs are met and proactively addressed.
  • Process staff requests within one business day of receiving resignation or site removal.
  • Send out ongoing and temporary Averaging Arrangements to eligible employees to reduce overtime.
  • Manage Averaging Arrangement compliances in Paladin's WinTEAM scheduling software.
  • Develop knowledge of Paladin's contractual obligations for assigned portfolios, including site visitations, ongoing training, and close working relationships with management.
  • Support and process JIRA submissions related to assigned portfolios, responding to tickets by the end of each business day.
  • Participate in Paladin's deployment process, including meeting with new hires on orientation or uniform day to set up site training and issue schedules.
  • Ensure billing accuracy and compliance on a weekly basis.
  • Work with Paladin's WinTEAM software to ensure accurate and timely scheduling, billing, and payroll.
  • Respond to emails within a timely manner.
  • Perform other duties as requested.
  • Submit detailed overtime breakdowns within three days of payroll lockdown.

Requirements:

  • High School Diploma
  • Post-secondary education in business administration or a related field is preferred
