Job Summary

About the Role

This is a permanent full-time position working 35 hours per week. You will be responsible for various tasks, including opening and distributing mail, scheduling appointments, and answering telephone calls. Additionally, you will compile data, statistics, and other information, order office supplies, and maintain inventory. Your excellent communication skills will enable you to greet people, direct them to contacts or service areas, and set up manual and computerized information filing systems.

Key Responsibilities
  • Manage daily mail and distribution, ensuring timely delivery to relevant parties;
  • Schedule and confirm appointments, meetings, and events with internal and external stakeholders;
  • Provide exceptional customer service through telephone calls, responding to inquiries, and resolving issues in a professional manner;
  • Compile and analyze data, statistics, and other relevant information to support business decisions;
  • Maintain accurate and up-to-date records, files, and databases, adhering to company policies and procedures;
  • Order and manage office supplies, maintaining an efficient and well-stocked inventory system;
  • Greet visitors, clients, and employees, directing them to the appropriate personnel or services;
  • Develop and maintain effective filing systems, both manual and digital, to ensure easy access to critical information;
  • Prepare and proofread correspondence, reports, and other documents, ensuring accuracy and attention to detail;
Requirements
  • Degree in Business Administration, Office Management, or related field (or equivalent experience);
  • Excellent organizational, time management, and communication skills;
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability;
  • Familiarity with Microsoft Office Suite, particularly Word, Excel, and Outlook;
  • High school diploma or equivalent required;
  • 1-7 months of experience in a similar role preferred;
  • Possession of a valid driver's license may be an asset;

The successful candidate will work in a fast-paced environment with multiple priorities and deadlines. The ability to multitask, prioritize, and maintain a high level of productivity is essential. Salary

The estimated salary for this position is $45,000 - $55,000 per annum, depending on qualifications and experience.
