Legal Operations Specialist

We are seeking a highly skilled Legal Operations Specialist to join our Intellectual Property team. As a key member of our dynamic and innovative group, you will provide exceptional service to clients while cultivating your skills and career path.
Key Responsibilities- Act as primary contact for new matter intake and provide key matter details to responsible lawyers.
- Review and assess new matters, providing estimates of time commitment and urgency.
- Manage recording, docketing, and coordination of deadlines, liaising with clients, counsel, and adjusters.
- Collaborate with Law Clerks, Practice Assistants, and Lawyers to manage matters and ensure deadlines are actioned.
- Develop and maintain a monitoring system for day-to-day communications and follow up on matters.
- Collaborate with the IP Lead Partner to develop workflow processes to optimize case load management.
- Develop and generate reports of matter deadlines and status updates.
- Undertake workflow current state reviews and develop recommendations for new processes and efficiencies.
- Manage the creation and maintenance of precedents, procedures, and playbooks.
- Minimum 3 years' experience with relevant Trademark experience and knowledge of filing and prosecution.
- Minimum post-secondary education of a Law Clerk or Paralegal Diploma or equivalent.
- Excellent interpersonal and communication skills with ability to work with key stakeholders.
- Superior organizational, data management, and problem-solving skills.
- Proven project and time management skills with ability to manage concurrent projects.
- Experience developing workflows and advanced computer skills.
- Experience with Intellectual Property Database platforms and a team player with a strong work ethic.
