We are expanding our team and are in search of a versatile and driven Legal Operations Information Governance Specialist to enhance our Corporate Legal team. The Vice President of Legal, who oversees the Legal Operations function at OMERS, is committed to nurturing talent and seeks a candidate with a strong eagerness to learn and a passion for supporting colleagues in their endeavors. This role will be pivotal in engaging with partners throughout the Chief Legal & Sustainability Officer group ("CLO Group") and will support several critical initiatives, including data governance, information management, and system implementation.

Key Responsibilities:

  1. Support the Vice President, Legal with various initiatives.
  2. Assist in creating relevant materials, conducting training sessions, and advocating for data governance best practices within the CLO Group.
  3. Educate the CLO Group on the significance of data governance best practices in ensuring data quality and compliance with internal policies.
  4. Help maintain the Law Library for OMERS legal teams, including updating resources as necessary.
  5. Assist with the implementation and management of software solutions adopted by the CLO Group, serving as the primary contact for support, user acceptance testing, and updates.
  6. Participate in analyzing legacy records for retention and disposition in accordance with OMERS classification guidelines.
  7. Support the annual records retention process for the CLO Group.
  8. Assist in preparing data rooms.
  9. Support e-discovery and litigation processes.
  10. Collaborate with team members on knowledge management efficiency projects, including data migration to SharePoint, iManage, or other systems as required.
  11. Regularly review content in the Legal knowledge management SharePoint sites to ensure relevance and accuracy.
  12. Assist in producing documentation and process maps for internal procedures, seeking opportunities for process improvement.
  13. Act as the administrator for the Legal Tracker enterprise e-Billing system and iManage document management system.

Qualifications for Success:

  1. Exceptional oral and written communication skills along with strong interpersonal abilities.
  2. Capability to collaborate and coordinate with multiple stakeholders.
  3. Aptitude for deriving insights, analyzing metrics, and conveying ideas clearly and succinctly.
  4. Self-motivated individual who can work independently and as part of a team, fostering a collegial and innovative culture.

Preferred Experience:

  1. At least 5 years of relevant experience.
  2. Experience in a law firm is advantageous but not mandatory.
  3. A Master's degree in Information or Information Management is preferred but not essential.
  4. Expertise in data governance, business process modeling, metadata, data lineage, data classification, and data quality.
  5. Understanding of data regulations, privacy, ethical use, data sharing, critical data indicators, access management, and data masking techniques.
  6. Strong verbal and written communication skills to effectively engage with both business and technical teams.
  7. Experience in project management and leading data governance initiatives.
  8. A collaborative team player with a solid grasp of change management.
  9. Familiarity with:
    1. Data room setup and administration (e.g., Intralinks).
    2. Implementation and management of software solutions.
    3. Legal Tracker (Serengeti).
    4. iManage Document Management System.
    5. Coordinating e-discovery and litigation processes.
