We are expanding our team and seeking a dynamic and highly driven Legal Operations Information Governance Specialist to enhance our Corporate Legal team. The Vice President of Legal, who oversees the Legal Operations function at OMERS, is committed to nurturing talent and is in search of a candidate with a strong eagerness to learn and a passion for supporting colleagues in their initiatives. This role will be instrumental in engaging with partners across the Chief Legal & Sustainability Officer group, contributing to vital projects related to data governance, information management, and system implementation.

Key Responsibilities:

  1. Support the Vice President, Legal with various projects and initiatives.
  2. Develop training materials and conduct sessions to promote data governance best practices within the CLO Group.
  3. Educate the CLO Group on the significance of data governance in maintaining data quality and adherence to internal policies.
  4. Maintain the Law Library for the OMERS legal teams, ensuring resources are current and accessible.
  5. Facilitate the implementation and management of software solutions utilized by the CLO Group, serving as the primary contact for support and user acceptance testing.
  6. Analyze legacy records within the CLO Group for retention and disposition according to OMERS classification guidelines.
  7. Assist in the annual records retention process for the CLO Group.
  8. Prepare data rooms for various legal activities.
  9. Support e-discovery and litigation processes.
  10. Collaborate with team members on knowledge management efficiency projects, including data migration to systems like SharePoint and iManage.
  11. Regularly review content in the Legal knowledge management SharePoint sites to ensure relevance and accuracy.
  12. Produce documentation and process maps for internal procedures, seeking opportunities for process improvement.
  13. Act as the administrator for the Legal Tracker enterprise e-Billing system and iManage document management system.

Qualifications for Success:

  1. Excellent verbal and written communication skills, coupled with strong interpersonal abilities.
  2. Proven capability to collaborate with multiple stakeholders effectively.
  3. Ability to analyze metrics, derive insights, and communicate ideas clearly.
  4. Self-motivated individual who can work independently and as part of a team, fostering a collaborative and innovative culture.

Preferred Experience:

  1. At least 5 years of relevant experience.
  2. Experience in a law firm is advantageous but not mandatory.
  3. A Master's degree in Information or Information Management is preferred but not essential.
  4. Expertise in data governance, business process modeling, metadata management, data lineage, classification, and quality assurance.
  5. Understanding of data regulations, privacy, ethical usage, data sharing, and access management techniques.
  6. Strong communication skills to effectively engage with both business and technical teams.
  7. Experience in project management and leading data governance initiatives.
  8. A collaborative team player with a solid grasp of change management principles.
  9. Familiarity with:
    1. Data room setup and administration.
    2. Implementation and management of software solutions.
    3. Legal Tracker and iManage Document Management System.
    4. Coordinating e-discovery and litigation activities.
