Job Summary

We are seeking a highly skilled and experienced Executive Assistant to provide direct support to our Vice President. The successful candidate will be responsible for organizing schedules, correspondence, and other administrative tasks to ensure operational effectiveness.

Key Responsibilities
  • Manage and maintain executive calendars, coordinate meetings and conferences, and ensure all materials and catering requirements are provided.
  • Act as the RVP's delegate for email and phone during absences, handle and forward issues, and prioritize tasks for the RVP's action upon return.
  • Develop and maintain communications, meeting and conference materials, forms, documents, presentations, and spreadsheets.
  • Coordinate all requirements, maintain appropriate records, and prepare and verify monthly expense claims and invoices, travel and other expenses, supplies, and update vacation and absence for the executive team.
  • Organize quarterly town halls, employee recognition celebrations, and other team events.
  • Maintain global distribution lists and distribute group-wide communications.
  • Raise awareness among the team, extend invitations to key business partners, and maintain effective knowledge of all relevant resources and services available within the organization.

  • Ability to handle sensitive and confidential information with discretion.

  • Innate ability to develop and maintain constructive and cooperative working relationships with individuals at all levels of the organization.
