About the Role:

The University of Ottawa is seeking an experienced Administrative Coordinator to provide administrative support to the Centre for Innovative Education in Simulation and Nursing (CIESN) and the School of Nursing. As a key member of the team, you will be responsible for coordinating faculty recruitment, producing reports, managing CPR course operations, and performing various administrative tasks.

Key Responsibilities:

  • Coordinate faculty hiring processes, including posting, selection, interviewing, and onboarding.
  • Support the coordination of recruitment, selection, and hiring process for research and teaching assistants.
  • Conduct analysis and research, compile data, statistics, and other information for reports.
  • Manage online store for CPR orders/courses and answer emails.
  • Perform various general administrative tasks, including scheduling lab course evaluations and posting timetable schedules on Brightspace.
  • Provide support for organizing conferences, workshops, and special events.
  • Coordinate faculty meetings, book room reservations, and prepare schedules for part-time professors' meeting rooms.
  • Coordinate the awards nomination procedure for the School and support members in preparing award nominations.
  • Participate in the billing process, prepare and send invoices, receive payments from customers, and follow up.
  • Support inventory control of various supplies, monitor demand, and replenish stock.
  • Establish and maintain an efficient filing and records management system.
  • Provide front-line customer service, greet and inform visitors, answer and redirect telephone calls and emails.

Requirements:

  • Post-secondary training in administration and bureaucracy or an equivalent combination of education and work experience.
  • At least two (2) years of demonstrated experience in a similar role.
  • Knowledge and experience of computer systems and software such as Windows, word processing, spreadsheets, Internet, and email.
  • Strong interpersonal, communication, and customer service skills.
  • Reliability, good judgment, and good organizational skills.
  • Ability to work under pressure.
  • Bilingualism: French and English (spoken and written); to be considered for this position, candidates must be rated at the Low Advanced proficiency level or higher for both oral comprehension and reading comprehension in their second official language.
