About the Role

We are seeking a highly organized and detail-oriented Financial Operations Coordinator to join our team at Lush. As a key member of our finance department, you will play a critical role in ensuring the smooth operation of our financial processes.

Key Responsibilities

Treasury Management

  • Monitor and manage cash flow, ensuring timely payments and deposits.
  • Coordinate treasury requirements for new store openings and closings, including banking and cash management arrangements.
  • Manage all changes to retail and corporate banking, including account openings, closures, and updates.
  • Coordinate with service providers to manage cash in transit, including armored vehicle services.
  • Maintain accurate banking details in vendor master records.
  • Handle corporate bank deposits and ensure accurate reconciliation.
  • Maintain up-to-date banking documentation, including account statements and transaction records.

Compliance and Risk Management

  • Coordinate personal property tax filings with a third-party preparer, ensuring timely submissions and compliance.
  • Work with third-party vendors and retail stores to complete renewal of store business licenses and openings/closings requirements.
  • Support the filing and remittance of bag tax in required jurisdictions, ensuring compliance with regulations.
  • Coordinate approvals and signatures for banking, legal, and tax documents from authorized signatories.

General Administration

  • Monitor, review, and distribute mail to ensure timely responses and action.
  • Coordinate new shop openings and closing checklists, ensuring a smooth transition.
  • Project manage finance-related projects, including budgeting, forecasting, and reporting.
  • Perform other administrative tasks as required, supporting the finance team.
Requirements

Qualifications

  • 2+ years of administrative experience, with a focus on financial administration.
  • Proven experience handling highly confidential and sensitive information.
  • Proficient in Microsoft and Google Office Suite, with a strong understanding of financial software.
  • Strong organizational and project management skills, with the ability to prioritize tasks and meet deadlines.
  • Effective communication skills, with the ability to work with various stakeholders, including team members, vendors, and external partners.
  • Proactive approach and initiative, with a focus on continuous improvement and process optimization.
  • Ability to maintain a high level of accuracy in preparing and entering financial information.
  • Ability to work in a team environment, as well as independently, with minimal supervision.
  • Ability to work in person at our Vancouver office for a minimum of 3 days per week.

Preferred Qualifications

  • Experience with Microsoft Dynamics, with a strong understanding of financial software.
  • Retail experience, with a focus on finance and operations.
