Job Title: Administrative Support Specialist
About the Role:
We are seeking an experienced Administrative Support Specialist to join our team at JPS Construction Group Ltd. As an Administrative Support Specialist, you will be responsible for providing administrative support to our team members, ensuring the smooth operation of our office.
Key Responsibilities:
- Plan and organize daily operations to ensure efficient use of time and resources.
- Record and prepare minutes of meetings, seminars, and conferences.
- Schedule and confirm appointments, meetings, and events.
- Answer telephone calls, relay messages, and respond to electronic enquiries.
- Compile data, statistics, and other information to support business decisions.
- Order office supplies and maintain inventory levels.
- Greet visitors, direct them to contacts or service areas, and provide general information about the company.
- Set up and maintain manual and computerized information filing systems.
- Type and proofread correspondence, forms, and other documents.
- Perform data entry tasks to ensure accurate and up-to-date records.
- Provide exceptional customer service to internal and external clients.
- Perform basic bookkeeping tasks to support financial operations.
Requirements:
- Secondary (high) school graduation certificate.
- 7 months to less than 1 year of experience in an administrative role.
- Excellent communication, organizational, and time management skills.
- Ability to work independently and as part of a team.
- Proficiency in MS Office, including Excel, Outlook, PowerPoint, and Word.
- Basic knowledge of computerized information filing systems and data entry software.
- Ability to multitask, prioritize tasks, and meet deadlines.
