Program Coordinator Specialist for Postgraduate Medical Education

About the Role

We are seeking a skilled Program Coordinator to join our team at The University of British Columbia. As a key member of our Postgraduate Medical Education department, you will play a vital role in the operational management of our internal medicine training program.

Your primary responsibilities will include scheduling and advising residents, managing complex rotation schedules, and coordinating events. You will work closely with faculty, hospital personnel, and residents to ensure smooth program operations.

Key Responsibilities
  • Create and manage master rotation schedules for 9 affiliated teaching sites with over 70 rotations.
  • Liaise with faculty, departments, and hospital personnel to resolve scheduling issues and negotiate policies.
  • Manage external resident rotations from various disciplines, including anesthesia, surgery, and emergency medicine.
  • Coordinate cross-coverage schedules, ensuring timely communication with service heads.
  • Maintain accurate online schedules and site contact lists.
  • Perform related duties and participate in projects as required.
Residents Support
  • Develop and maintain systems for streamlining processes for residents, including request for vacation changes, rotation changes, and policy updates.
  • Advise residents on program-related issues, resolving new and unusual problems as needed.
  • Lead resident resource and advisor, holding final authority for scheduling change requests.
  • Train and manage program assistants and administrative staff in scheduling, finance, and resident advising.
Program Management
  • Assist with Royal College Accreditation reviews, working with program managers to prepare documentation.
  • Deliver orientation and invigilation services for educational exams and simulated sessions.
  • Participate in quarterly sub-specialty committee meetings and annual resident welcome barbecue planning.
  • Liaise with postgraduate deans' offices, Royal College, and other departments in the Faculty of Medicine.
Requirements
  • University degree in a relevant discipline.
  • Minimum two years of related experience or equivalent combination of education and experience.
  • Ability to work independently, exercise sound judgment, and communicate effectively verbally and in writing.
  • Demonstrated commitment to enhancing awareness, knowledge, and skills related to equity, diversity, and inclusion.
