Job Title: Administrative Coordinator
Job Summary:
We are seeking an experienced Administrative Coordinator to join our team at West Coast College of Massage Therapy, Inc. The successful candidate will be responsible for providing administrative support to our staff and ensuring the smooth operation of our office.
Key Responsibilities:
- Implement new administrative procedures and review existing ones to ensure efficiency and effectiveness
- Establish work priorities and ensure procedures are followed and deadlines are met
- Co-ordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance and security services
- Assist in the preparation of operating budget and maintain inventory and budgetary controls
- Assemble data and prepare periodic and special reports, manuals and correspondence
- Perform data entry and oversee and co-ordinate office administrative procedures
- Resolve conflict situations and schedule and confirm appointments
- Perform routine maintenance work and order supplies and equipment
- Notify customers regarding account discrepancies and manage accounts receivable
- Determine and establish office procedures and routines and check information gathered for completeness and accuracy
- Answer telephone and relay telephone calls and messages and compile data, statistics and other information
Requirements:
- College, CEGEP or other non-university certificate or diploma from a program of 1 year to 2 years
- Building/property maintenance or Accounting technology/technician and bookkeeping or equivalent experience
- Excellent oral and written communication skills and ability to work independently in a fast-paced environment
- Ability to multitask and work under pressure with attention to detail and ability to adapt to changing priorities
- Efficient interpersonal skills and ability to work as a team player
