Job Title: Scheduling Coordinator

Empower Simcoe is seeking a highly organized and detail-oriented Scheduling Coordinator to join our team. As a key member of our Accommodations program, you will be responsible for ensuring adequate staffing is in place to support the needs of our program.

Key Responsibilities:
  • Review and analyze staffing needs for each group living and supported independent living location to ensure adequate staffing is in place.
  • Cover all shifts within the Accommodations program, including absences due to sick calls, emergency leaves, leaves of absence, and weather-related issues.
  • Liaise with Accommodations Supports and Services Supervisors, Supports and Services Liaison Supervisor, Scheduling, and outside placement agencies to ensure shifts are filled.
  • Notify Scheduling and appropriate Supports and Services supervisor of shift coverage to ensure employees are properly remunerated.
  • Maintain a tracking system to show which staff have accepted replacement shifts and which staff have declined replacement shifts.
  • Coordinate daily activities of the Scheduling Office, including sorting and classifying incoming scheduling emails and actions, answering scheduling phone inquiries, and processing non-union scheduling changes.
  • Assist with posting for Accommodation Services, allocating shifts as per the CBAs, Occupational Health and Safety Act, and Employment Standards Act.
  • Perform other duties and assignments as required by the Scheduling Supports & Services Manager.
Requirements:
  • Post-secondary degree or diploma in Business Administration, Human Resources, or a closely related field, or a combination of education and experience that provides the required knowledge, skills, and abilities.
  • A minimum of three years recent full-time working experience in administration, human resources, with emphasis on experience utilizing a computerized scheduling system and working in a unionized environment.
  • Demonstrated excellent written, verbal communication, and interpersonal skills with the ability to effectively collaborate.
  • Above-average attention to detail and accuracy, organizational, and time management skills with the ability to work under pressure and within tight deadlines.
  • Demonstrated advanced computer skills, specifically scheduling software, Word, and Excel.
  • Working knowledge of the Employment Standards Act and Occupational Health and Safety Act and the ability to apply regulations as they pertain to scheduling.
  • A background in supporting individuals with intellectual disabilities is an asset.
Special Factors:
  • Ability to interpret two collective agreements and apply the provisions of these agreements as well as employment legislation, scheduling principles, and ensuring employees are scheduled appropriately.
  • Must be available to work between the hours of 7:00am and 5:00pm.
  • A valid G class driver's license and own reliable transportation is required.
  • From time to time, must be available for shifts as assigned, outside of normal working hours.
  • Motivated to keep up to date on technology and current on government legislation, Collective Agreements, and Agency Standards of Practice.
