Job Summary:

We are seeking a highly organized and detail-oriented Office Administrator/Receptionist to join our team at Integral Seal Mfg. The successful candidate will be responsible for providing administrative support to our office, ensuring the smooth operation of our daily activities.

Key Responsibilities:

  1. Administrative Tasks: Manage and maintain office filing systems, including both physical and electronic files, and assist with budgeting and financial record-keeping tasks.
  2. Vendor Management: Coordinate and oversee vendor management, including maintaining relationships and negotiating contracts.
  3. Scheduling and Coordination: Assist with scheduling and coordinating meetings, appointments, and travel arrangements.
  4. Reporting and Documentation: Prepare reports, presentations, and other documents as needed.
  5. Customer Service: Answer phone calls, take messages, and respond to inquiries in a professional manner, and greet visitors and direct them to the appropriate person or department.
  6. Supply Management: Order office supplies and ensure inventory is adequately stocked.
  7. Mail and Package Management: Handle incoming and outgoing mail, including sorting, distributing, and processing.

Requirements:

  1. Experience: Proven experience in office administration or a similar role.
  2. Technical Skills: Proficient in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint).
  3. Soft Skills: Strong organizational skills with the ability to prioritize tasks and meet deadlines, excellent communication skills, both written and verbal, and attention to detail and accuracy in all work performed.
  4. Teamwork: Ability to work independently as well as part of a team.
