Job Summary

The University of British Columbia is seeking an experienced Educational Program Coordinator to join its Centre for Health Education Scholarship (CHES). This is a unique opportunity to work in a dynamic and collaborative environment, coordinating administrative matters for two central programs: the Clinical Educator Fellowship Program (CEFP) and the Master of Health Professions Education Canada Program (MHPE-Canada).

Key Responsibilities
  • Coordinate the entire CEFP application, screening, and recruitment process, providing information and advice to prospective applicants.
  • Oversee the room bookings, scheduling, communications to candidates, and records retention for CEFP.
  • Coordinate the CEFP Academic Half-Day sessions, including recruiting speakers, managing schedules, and developing educational materials.
  • Organize and support CEFP program-related events, including the CHES Orientation and Graduation events for fellows.
  • Perform financial duties related to CEFP, including reporting on budget expenditures and processing expenses.
  • Provide administrative support to the Program Director and fellows, including drafting and editing reports, compiling statistical data, and conducting routine research.
  • Act as the main administrative liaison and contact for MHPE-Canada, coordinating the entire call for applicants, compiling applications, and arranging the interview process.
  • Coordinate and oversee all administrative matters for MHPE-related events, including coordinating the logistics for the 3-week sessions.
  • Support Program Director(s) in creating and updating informative course materials for master's students.
  • Perform financial duties related to MHPE-Canada, including reporting on budget expenditures and processing expenses.
Requirements
  • High School graduation, plus two year post-secondary diploma, plus four years of related experience, or an equivalent combination of education and experience.
  • Willingness to respect diverse perspectives, including perspectives in conflict with one's own.

  • Ability to use Outlook, Word, Excel, Adobe Acrobat Pro, and OneNote at an intermediate level.
  • Experience with Teams/OneDrive, Canva, and/or WordPress an asset.
  • Strong ability to accurately maintain electronic calendars, reconcile scheduling conflicts, and coordinate meetings appropriately.
  • Strong interpersonal and communication skills, with the ability to communicate effectively both verbally and in writing, with a diverse audience.
  • Ability to compose and edit correspondence, reports, presentations, and other written materials using clear and concise business English.
  • Ability to gather, record, and organize information effectively.
  • Ability to plan, schedule, and organize a variety of projects and/or events, often concurrently.
  • Strong organizational skills, with the ability to manage a full workload, and work under pressure to meet critical deadlines.
  • Ability to multi-task and prioritize effectively, and demonstrate flexibility when priorities change.
  • Ability to analyze and problem solve with minimal guidance.
  • Ability to make thoughtful, informed, and thorough decisions.
