Job Summary

We are seeking a highly organized and detail-oriented Office Coordinator to join our team in Montreal. As an Office Coordinator, you will play a critical role in supporting the daily operations of our office, ensuring a welcoming atmosphere for our employees and guests.

Key Responsibilities
  • Maintain office supplies, vendor lists, and expense budget files, including creating purchase orders and managing invoices.
  • Stock and organize supply cabinets, printers, and ensure they are in working order.
  • Prepare meeting rooms for events and schedule appointments.
  • Assist in organizing events by ordering lunch, preparing the conference room, and fulfilling special requests.
  • Update local restaurant lists for meeting and guest coordination.
  • Maintain office seating charts.
  • Support new employee onboarding, including preparing welcome kits.
  • Provide administrative support to departments as needed.
  • Participate in the Social Committee, proposing ideas and organizing office events.
  • Reception duties, including greeting visitors, answering inquiries, and providing telephone and reception services.
  • Sort and distribute emails, maintain office directories, and reception guides.
  • Record and distribute incoming mail, prepare outgoing mail for pickup, and sort and organize incoming and outgoing mail.
  • Ensure the reception waiting area is clean and presentable.
  • Translate documentation from French to English.
Requirements
  • Fluency in English and French (for Montreal-based candidates).
  • Strong organization and communication skills, with excellent verbal and written skills.
  • Customer service experience.
  • Computer skills, with knowledge of Yardi, SharePoint, MS Excel, MS Word, Outlook, and Teams.
  • Proven capabilities in multi-tasking and problem-solving.
  • Previous experience in a receptionist or administrative assistant role.
