Job Title: Office CoordinatorWe are seeking a highly organized and detail-oriented Office Coordinator to join our team in Montreal. As an Office Coordinator, you will play a critical role in supporting the daily operations of our office.
Key Responsibilities:- Maintain office supplies, vendor lists, and expense budget files, including creating purchase orders and managing invoices.
- Stock and organize supply cabinets, printers, and ensure they are in working order.
- Prepare meeting rooms for events and schedule appointments.
- Assist in organizing events by ordering lunch, preparing the conference room, and fulfilling special requests.
- Update a list of local restaurants for meeting or guest coordination.
- Maintain office seating charts.
- Assist in onboarding new employees by preparing welcome kits.
- Provide ad hoc administrative support to departments as needed.
- Member of the Social Committee, proposing ideas and organizing office events.
- Reception duties, including greeting visitors, answering inquiries, and providing efficient telephone and reception service.
- Sort and distribute emails.
- Maintain office directories and reception guides.
- Maintain knowledge of staff locations inside and outside the office.
- Record and distribute incoming mail, prepare outgoing mail for pickup, sort and organize incoming and outgoing mail.
- Ensure the reception waiting area is clean and presentable.
- Translate documentation (FR/ENG).
- Fluency in English and French (if within the Montreal region).
- Strong organization and communication skills, with excellent verbal and written skills.
- Customer service experience.
- Computer skills, with knowledge of Yardi, SharePoint, MS Excel, MS Word, Outlook, and Teams.
- Organized and proven capabilities in multi-tasking and problem-solving.
- Previous work experience in a receptionist or administrative assistant role.
