**Key Responsibilities**

  • Respond to inquiries from clients, candidates, and other parties in a professional and courteous manner
  • Refer all inquiries to the appropriate individuals, divisions, or departments across the organization
  • Prepare and distribute various documents, reports, and correspondence as needed
  • Receive and distribute all forms of paper correspondence
  • Assist in the compilation of data for various reports and presentations
  • Coordinate logistical aspects of departmental programs, including meetings, seminars, workshops, and events
  • Arrange and book meetings and presentations in boardrooms and other locations
  • Present a positive and professional image of the organization to all visitors, suppliers, and other interactions
  • Provide information to staff and/or clients about special activities and events
  • Administer and manage inbound and outbound mail, including priority post, packages, and courier services
  • Maintain the reception area in a tidy and presentable manner
  • Ensure the necessary office supplies are stocked and obtained at the best possible price
  • Coordinate employee coveralls with the vendor of choice

**Requirements**

  • Working knowledge of Microsoft Office
  • Strong organizational skills and attention to detail
  • Knowledge of general office procedures, including procurement, travel arrangements, and budget management
  • Ability to write simple correspondence, including memos and letters
  • General mathematical skills and ability to apply understanding to carry out instructions
  • Ability to maintain filing systems and basic databases
  • Excellent analytical and problem-solving skills
  • Meticulous records maintenance skills
  • Superior telephone manners and strong interpersonal skills
  • Strong written and verbal communication skills to communicate with all levels of the organization

**Preferred Qualifications**

  • Experience working on a multi-line switchboard
  • High school diploma or GED, or an acceptable combination of education and experience
  • 2-4 years of direct work experience in a receptionist capacity
  • Bilingual French and English is considered an asset
