Position Overview:

The Payroll and Time Administrator coordinates and oversees the accurate and timely processing of payroll and timekeeping for employees across Canada through an outsourced payroll provider. This role involves ensuring compliance with federal and provincial regulations, resolving payroll discrepancies, driving process improvements, and managing payroll and time-related projects. Additionally, this role will overlap with US payroll operations to ensure alignment with US payroll regulations and practices.

Responsibilities:

  1. Partner with ADP to ensure accurate and timely bi-weekly payroll processing for Canadian employees, including salary, bonuses, deductions, and benefits.
  2. Oversee the timekeeping system and ensure all hours are accurately recorded and approved.
  3. Troubleshoot configuration issues in the time system and propose solutions to accommodate plant pay requirements.
  4. Provide proactive feedback on the implications (work effort, complexity, etc.) of proposed pay or time/attendance changes.
  5. Ensure payroll practices comply with federal and provincial laws, including tax regulations, employment standards, and reporting requirements.
  6. Address and resolve payroll-related inquiries and issues in a timely and professional manner, coordinating with the outsourced provider as necessary.
  7. Develop and run reports to support plants and other groups within the organization.
  8. Assist with internal and external payroll audits, ensuring all records provided by the outsourced provider are accurate and up to date.
  9. Maintain and update internal timekeeping systems, ensuring data integrity and system efficiency, and coordinate with ADP for payroll system updates.
  10. Identify opportunities for process improvements within payroll and timekeeping operations and implement changes to enhance efficiency and accuracy.
  11. Support payroll-related projects, including system upgrades, policy changes, and process optimization initiatives.
  12. Assist with US payroll processes and operations that overlap across North America.
  13. Provide training and support to employees and managers on payroll and timekeeping processes and systems.
  14. Create and deliver training as necessary.
  15. May be required to perform other related duties as assigned.

Requirements:

  1. Bachelor's degree in Accounting, Finance, Human Resources, or related field, or equivalent of 5+ years' of multi-province payroll experience, including taxes and garnishments, pay calculations, multi-state taxation rules, wage and hour laws and functional payroll processing.
  2. Experience with ADP Canada preferred.
  3. Strong understanding of payroll compliance regulations and legislation.
  4. Strong analytical and problem-solving skills.
  5. Strong customer service and communication skills, with an ability to effectively coordinate with outsourced payroll provider.
  6. Experience in a manufacturing environment preferred.
  7. Strong organizational, prioritization and time management skills.
  8. Strong attention to detail.
  9. Outsourcing experience preferred.
  10. Trustworthy with attention to confidentiality.
  11. Solid interpersonal, verbal and written communication skills.
  12. Proficient in Microsoft Word, Excel, Outlook.
  13. Solid project coordination skills.
  14. Familiarity with accounting principles.
  15. Ability to work independently and in a team environment.
  16. May be required to lift, carry, push or pull up to and including 25 pounds.
  17. Minimal travel required (0 – 10 days per year).
  18. Work environment is typical of an office setting.
