Job Summary

We are seeking an experienced Administrative Assistant to join our team at Amicus Immigration Consultants Canada Inc. The successful candidate will provide administrative support to our immigration team, ensuring the smooth operation of our office and the delivery of exceptional client service.

Key Responsibilities
  • Provide administrative support to the immigration team, including coordinating travel arrangements, managing calendars, and preparing documents.
  • Assist with staff consultation and grievance procedures, ensuring a positive and respectful work environment.
  • Coordinate the flow of information within the team, ensuring timely and effective communication.
  • Direct and control daily operations, including managing contracts, scheduling appointments, and maintaining office supplies.
  • Evaluate daily operations, identifying areas for improvement and implementing changes as needed.
  • Open and distribute mail and other materials, ensuring timely and secure delivery.
  • Determine and establish office procedures and routines, ensuring efficiency and effectiveness.
  • Schedule and confirm appointments, ensuring timely and professional communication.
  • Manage contracts, including negotiating and preparing agreements.
  • Answer telephone and relay telephone calls and messages, ensuring timely and professional communication.
  • Answer electronic enquiries, providing accurate and timely responses.
  • Compile data, statistics, and other information, ensuring accuracy and completeness.
  • Respond to employee questions and complaints, ensuring a positive and respectful work environment.
  • Order office supplies and maintain inventory, ensuring efficient and effective operations.
  • Greet people and direct them to contacts or service areas, ensuring a positive and welcoming experience.
  • Set up and maintain manual and computerized information filing systems, ensuring accuracy and completeness.
  • Type and proofread correspondence, forms, and other documents, ensuring accuracy and professionalism.
  • Conduct research, providing accurate and timely information.
  • Perform data entry, ensuring accuracy and completeness.
  • Provide customer service, ensuring a positive and welcoming experience.
  • Work with the marketing department to understand and communicate marketing messages to the field.
  • Maintain and manage digital databases, ensuring accuracy and completeness.
  • Consult with clients after sale to provide ongoing support.
  • Supervise office and volunteer staff, ensuring a positive and respectful work environment.
Requirements
  • 1 to 2 years of experience in an administrative role.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Strong organizational and time management skills.
  • Ability to multitask and prioritize tasks effectively.
  • Proficiency in MS Office, including Excel, Outlook, PowerPoint, and Word.
  • Knowledge of social media and electronic mail.
  • Valid driver's license and willingness to travel regularly.
  • Ability to work in a fast-paced environment and under pressure.
  • Attention to detail and ability to work with minimal supervision.
  • Ability to multitask and prioritize tasks effectively.
  • Excellent oral communication and team player skills.
