Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at G&M Gears International Ltd. The successful candidate will be responsible for coordinating the flow of information within the team, directing and controlling daily operations, and evaluating daily operations to ensure efficiency and productivity.

Key Responsibilities
  • Coordinate the flow of information within the team to ensure seamless communication and collaboration.
  • Direct and control daily operations to meet the needs of the team and the organization.
  • Evaluate daily operations to identify areas for improvement and implement changes to increase efficiency and productivity.
  • Open and distribute mail and other materials to team members and stakeholders.
  • Plan and organize daily operations to ensure timely completion of tasks and projects.
  • Establish and implement policies and procedures to ensure compliance with organizational standards.
  • Record and prepare minutes of meetings, seminars, and conferences to ensure accurate documentation.
  • Answer telephone and relay telephone calls and messages to team members and stakeholders.
  • Answer electronic enquiries and respond to emails and other digital communications.
  • Oversee payroll administration to ensure accurate and timely payment of employees.
  • Greet people and direct them to contacts or service areas to provide excellent customer service.
  • Maintain and manage digital databases to ensure accurate and up-to-date information.
Requirements
  • College, CEGEP, or other non-university certificate or diploma from a program of 1 year to 2 years.
  • 1 to less than 7 months of experience in an administrative role.
  • Permanent employment with 35 to 40 hours per week.
  • Fluency in English as the primary language of work.

  • MS Excel for data analysis and reporting.
  • MS Outlook for email and calendar management.
  • MS PowerPoint for presentations and reports.
  • MS Word for document creation and editing.
