Job Title: Administrative Assistant

We are seeking an experienced Administrative Assistant to join our team at Nova Scotia Limited. As an Administrative Assistant, you will provide administrative support to our staff and management team, ensuring the smooth operation of our office.

Key Responsibilities:
  • Provide administrative support to staff and management team, including scheduling appointments, preparing meeting minutes, and maintaining records.
  • Coordinate the activities of the HR department, including recruitment, onboarding, and employee relations.
  • Assist with staff consultation and grievance procedures, ensuring a fair and respectful work environment.
  • Plan and organize daily operations, including managing calendars, coordinating travel arrangements, and preparing reports.
  • Establish and implement policies and procedures, ensuring compliance with organizational standards.
  • Record and prepare minutes of meetings, seminars, and conferences, ensuring accurate and timely documentation.
  • Determine and establish office procedures and routines, ensuring efficiency and productivity.
  • Schedule and confirm appointments, ensuring timely and effective communication.
  • Set up and maintain manual and computerized information filing systems, ensuring accurate and secure data storage.
  • Work with the marketing department to understand and communicate marketing messages to the field, ensuring alignment with organizational goals.
Requirements:
  • 1 year to less than 2 years of experience in an administrative role.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in MS Office, including Excel, Outlook, PowerPoint, and Word.
  • Ability to work in a fast-paced environment, with a high level of adaptability and flexibility.
Preferred Qualifications:
  • Experience working with diverse populations, including newcomers and refugees.
  • Knowledge of government or community programs and initiatives supporting newcomers and refugees.
  • Ability to communicate in multiple languages, including English and French.
