Site Administrative Coordinator

The Site Administrative Assistant provides critical support to the site team, ensuring seamless day-to-day operations and streamlining efficiencies to enable the team to focus on key tasks. This includes coordinating meetings, arranging catering, booking travel, reconciling expense reports, receiving goods, and compiling reports. The incumbent works closely with other departments and serves as the primary point of contact on the site.
Key Responsibilities- Support site team with necessary tasks and ensure proper maintenance of expenses and receipts.
- Track goods received on site in Toolbox and work with Buyers to complete GR Report (weekly).
- Collaborate with site individuals to discuss equipment rental and goods receiving, and forecast necessary additions to PO.
- Advise Buyers of issues or disputes with invoices and work with Buyers to advise AP to post invoices based on GRs.
- Track fuel, hours, surveys, and testing, and file documents and time cards.
- Take meeting minutes as required and complete LEIs for Foremen.
- Review overtime allocations and perform quality checks (code against hours).
- Ensure proper allocation of files and equipment, and carry out document administrative procedures.
- Archive and destroy files as required, and manage documents from clients.
- Maintain Safety PPE inventory and ensure compliance with health and safety standards.
- A high school diploma is required.
- 1-3 years of relevant experience.
- Good typing, filing, and general reception skills.
- Strong organizational and time-management skills, with ability to prioritize tasks well.
- Strong customer service skills and awareness of health and safety standards.
- Positive upbeat attitude, strong written and verbal communication skills, and ability to communicate effectively with different levels of the organization.
- Proficiency with MS Office Suite, SAP, Toolbox, Skype for Business, meeting room setup, and technology, as well as basic IT troubleshooting.
