Key Responsibilities:
- Provide front desk support to guests and clients, including answering inquiries, managing attendance sheets, and issuing visitor badges
- Organize staff meetings, ensuring meeting spaces are clean and well-maintained
- Prepare coffee, order lunches, and monthly birthday cakes
- Type correspondence, including email blasts and large mailings
- Run errands for the office, as required
- Distribute mail to relevant recipients and fold and mail daily credit statements
- File records and documents as necessary, manage files, record systems, office supplies, and inventory
- Maintain liaisons with external suppliers and vendors, ordering supplies based on demand
- Manage building maintenance contracts, including cleaners, printers, and plant maintenance
- Liaise with the Global IT Department
- Train new hires on preliminary work information, including evacuation plans, fire drills, first aid kits, and fire extinguishers
- Coordinate and plan meetings, corporate events, flights, hotels, and car services through Frosch
- Run periodic reports and update voice mail lists, employee birthday lists, and rep contact lists
- Create purchase requisitions for quotes above $500
- Support the marketing department in various administrative tasks
Requirements:
- Basic Word, Excel, and PowerPoint skills are essential
- The ideal candidate should be a problem solver who can manage their time effectively
- Fashion industry experience is a bonus
- The successful candidate should be self-motivated and perfectly bilingual (English/French) in both spoken and written form
- A car is required for this position
