About the Role

SIIT is seeking a highly skilled and experienced Executive Assistant to provide confidential and high-level administrative support to the Vice-President, Finance. This is a key role that requires a strong understanding of executive administrative processes and procedures, as well as excellent communication and interpersonal skills.

Key Responsibilities
  • Administrative Support
    • Provide professional administrative support to the Vice-President, Finance, including coordinating meetings, preparing documents, and handling correspondence.
    • Manage the Vice-President's calendar, schedule appointments, and ensure timely follow-up on tasks and projects.
    • Develop and maintain efficient administrative systems and processes to support the Vice-President's work.
    • Provide back-up support to the Administrative Assistant and operate a multiline switchboard as needed.
  • Client Focus
    • Screen incoming calls and requests, and direct to the appropriate personnel or department.
    • Determine the nature of visitors' business and provide appropriate information or direct them to the appropriate personnel.
    • Maintain and organize the Vice-President's calendar and work schedule to ensure clear communication and transparency of schedule.
    • Ensure the Vice-President is prepared for all commitments, including having background material, briefing notes, and speaking notes.
  • Department Initiatives
    • Collect and analyze data from various sources to support department initiatives.
    • Prepare complex reports, charts, and graphs to support department operations.
    • Provide administrative support for department meetings, committees, and working groups.
    • Develop and maintain databases to support department initiatives.
  • People Management & Leadership
    • Assist in building and leading the department through employee selection and development.
    • Coach, train, and develop employees to ensure growth and development.
    • Conduct regular reviews with direct reports and ensure adherence to SIIT policies and procedures.
Requirements
  • Successful completion of a business-related certificate or diploma.
  • Minimum of four years of executive-level administrative support experience.
  • Previous experience in an executive assistant role or similar position is an asset.
  • Previous supervision experience is considered an asset.
  • Valid driver's license and reliable transportation.
  • Cleared criminal record check (CRC).
