Job Description:

We are seeking a highly organized and detail-oriented Service Department Coordinator to join our team at Transcona Roofing Ltd. This role is responsible for coordinating the day-to-day activities of the Service Department, ensuring seamless execution of projects from start to finish.

Established in 1959, Transcona Roofing Ltd. is a full-service roofing and waterproofing contractor dedicated to building long-term relationships with our customers through exceptional service and quality workmanship.

Responsibilities:
  • Service Accounting:
    • Invoice clients, manage accounts receivable and payable
    • Issue purchase orders for materials and subcontractors
  • Service Scheduling:
    • Create work orders and client communications
    • Maximize manpower and provide daily/weekly schedules
  • Customer Service:
    • Handle incoming calls and customer surveys
  • Office Management:
    • Manage administration, service records, and security checks
    • Maintain SharePoint/OneDrive/DataForma systems
    • Coordinate marketing and staff communications
    • Monitor KPIs and manage payroll
  • Operational Tasks:
    • Ensure accurate information for work orders (quality assurance)
    • Collaborate with the Service Manager to schedule work orders and assign crews
    • Provide daily schedules and material requirements to Foremen
    • Review timecards, field reports, and safety documents
    • Investigate discrepancies in job costing and implement corrective actions
    • Forecast work schedules between departments
    • Manage on-call schedules and dispatch crews
    • Ensure compliance with clients' contracts and regulations
  • Customer Relations:
    • Manage client communications from inquiry to job completion
    • Follow up on leak repairs, proposals, and inspections
  • Payroll & Accounting:
    • Review and approve weekly payroll uploads
    • Investigate payment issues and ensure accurate coding of labour and materials
    • Collaborate with the accounting department for Month End reporting
  • Leadership:
    • Lead weekly Service Department meetings
Requirements:
  • High School diploma
  • Customer Service experience
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Software knowledge (FCS, ProContractor, Workmax, DataForma, SiteDocs, OneDrive, Teams, MS Office)

Working Conditions:

  • 45 hours per week (seasonal conditions may apply)
  • Flexibility to work after hours or weekends as needed

  • Completion of Dale Carnegie course required within first 12 months of employment
