We are seeking a highly organized and detail-oriented Mailroom Administrator to join our team at TMX Group. As a key member of our operations team, you will be responsible for processing incoming and outgoing mail, couriers, and data entry functions.

Key Responsibilities

  1. Process incoming mail and courier, including receiving, opening, sorting, and delivering.
  2. Process outgoing mail, courier, and trackable shipments, including creating labels and tracking packages.
  3. Weigh mail and calculate correct postage.
  4. Operate standard small operations equipment, including postage meters, folders, and automatic letter openers.
  5. Update daily report logs and maintain accurate records.
  6. Collaborate with internal departments and external vendors to ensure seamless communication and processing.
  7. Research tracking inquiries and resolve issues promptly.
  8. Process incoming faxes and distribute accordingly.
  9. Assist with shareholder maintenance coding and month-end client billing, including processing vendor invoices.

Requirements

  1. High school diploma or equivalent experience.
  2. 1+ year of administrative or mailroom experience.
  3. Excellent written, verbal, and listening skills.
  4. Proficient in Microsoft Office, with a focus on Excel.
  5. Proficient in Google Suite.
  6. Strong organizational skills and attention to detail.
  7. Ability to work overtime during peak volumes.
  8. Lifting up to 40lbs may be required.
  9. Flexibility to work on a wide range of tasks and projects, with a focus on prioritization.
  10. Develop and maintain strong relationships with internal and external clients.
  11. Work effectively in a team environment and contribute to the success of the group.
  12. Poise and ability to work under pressure, with a focus on meeting deadlines.

Preferred Qualifications

  1. Financial services industry experience.
  2. Bilingual in English/French.
  3. Canadian Securities Course.
