About the Role
We are seeking a highly organized and detail-oriented Mailroom Administrator to join our team at TMX Group. As a key member of our operations team, you will be responsible for processing incoming and outgoing mail, couriers, and data entry functions.
Key Responsibilities
- Process incoming mail and courier, including receiving, opening, sorting, and delivering.
- Process outgoing mail, courier, and trackable shipments, including creating labels and tracking packages.
- Weigh mail and calculate correct postage.
- Operate standard small operations equipment, including postage meters, folders, and automatic letter openers.
- Update daily report logs and maintain accurate records.
- Collaborate with internal departments and external vendors to ensure seamless communication and processing.
- Research tracking inquiries and resolve issues promptly.
- Process incoming faxes and distribute accordingly.
- Assist with shareholder maintenance coding and month-end client billing, including processing vendor invoices.
Requirements
- High school diploma or equivalent experience.
- 1+ year of administrative or mailroom experience.
- Excellent written, verbal, and listening skills.
- Proficient in Microsoft Office, with a focus on Excel.
- Proficient in Google Suite.
- Strong organizational skills and attention to detail.
- Ability to work overtime during peak volumes.
- Lifting up to 40lbs may be required.
- Flexibility to work on a wide range of tasks and projects, with a focus on prioritization.
- Develop and maintain strong relationships with internal and external clients.
- Work effectively in a team environment and contribute to the success of the group.
- Poise and ability to work under pressure, with a focus on meeting deadlines.
Preferred Qualifications
- Financial services industry experience.
- Bilingual in English/French.
- Canadian Securities Course.
