Job Title: Administrative Support Specialist

Job Summary:
Plainsman MFG is seeking a highly organized and detail-oriented Administrative Support Specialist to join our team. As a key member of our front office, you will be responsible for providing exceptional support to our staff and ensuring the smooth operation of our office.

Key Responsibilities:
  • Answer and direct phone inquiries to appropriate individuals in a professional manner.
  • Organize and maintain office files and file archives, including filing, scanning, and archiving.
  • Send invoices to customers via mail or email daily.
  • Be a steward of the company brand when interacting with visitors, customers, and co-workers.
  • Administer inbound/outbound mail/parcels/courier services.
  • Greet, screen, and direct visitors to appropriate personnel and/or places.
  • Administer office supplies and by company policies and procedures.
  • Communicate information to staff and/or clients about special activities or events.
  • Organize and maintain the reception area, copy room, supply room, and lunch room using principles that are congruent with the rest of the company (lean, 5S, DMAIC, Pareto, etc).
  • Orient and provide visitors with our Health & Safety policies, PPE, and evacuation procedures.
  • Prepare forms, letters, reports, and memos when requested.
  • Arrange and book meetings & special events in various locations.
  • Access and print brochures and compile sales catalogs as requested by sales.
  • Access and compile information out of the ERP system as requested by other staff members.
  • Administer maintenance and service for the photocopier, coffee machine, and water cooler.
  • Miscellaneous administrative tasks as requested by other staff members.

Requirements:
  • Ability to speak, read, and write English.
  • High school diploma or equivalent.
  • Basic knowledge of MS Office (Word, Excel, Outlook, Explorer) and Windows.
