About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at CLC Building Solutions Inc. as an Administrative Coordinator. This is a full-time position that requires excellent communication and interpersonal skills.

Key Responsibilities
  • Event Planning: Coordinate and arrange seminars, conferences, and other events to support the company's goals and objectives.
  • Minute Taking: Record and prepare minutes of meetings, seminars, and conferences to ensure accurate documentation.
  • Office Procedures: Develop and implement office procedures and routines to improve efficiency and productivity.
  • Scheduling: Schedule and confirm appointments, meetings, and events to ensure smooth coordination.
  • Communication: Answer telephone calls, relay messages, and respond to electronic enquiries in a professional and timely manner.
  • Data Management: Compile data, statistics, and other information to support business decisions.
  • Supply Management: Order office supplies and maintain inventory to ensure a well-stocked and organized workspace.
  • Travel Arrangements: Arrange travel, itineraries, and make reservations as needed.
  • Customer Service: Greet clients and visitors, direct them to contacts or service areas, and provide exceptional customer service.
  • Document Management: Set up and maintain manual and computerized information filing systems to ensure accurate and secure document storage.
  • Correspondence: Type and proofread correspondence, forms, and other documents to ensure professionalism and accuracy.
Work Environment and Requirements
  • Work Environment: Fast-paced environment with tight deadlines and a focus on attention to detail.
  • Physical Capabilities: Repetitive tasks and a high level of organization required.
  • Personal Suitability: Excellent oral and written communication skills, flexibility, and a team player attitude.
  • Experience: 1 year to less than 2 years of experience in an administrative role.
  • Language: English is the primary language of communication.
  • Work Hours: 40 hours per week.
