Job Summary

Key Responsibilities

  • Provide exceptional customer service to all visitors and artists, ensuring a warm and welcoming atmosphere.
  • Respond to general inquiries and serve as a point of contact for key third-party partners and service providers on show days.
  • Maintain positive relationships with clients and internal departments, ensuring effective communication and collaboration.
  • Coordinate hospitality needs for artists and events, working closely with the tour manager and Entertainment and Bookings Manager.
  • Ensure accurate and timely submission of invoices and receipts for hospitality-related expenditures.
  • Keep internal departments and talent informed of event requirements prior to and throughout the show day.
  • Assist in coordinating show setups and floor maps, working with the Front of House Manager and Entertainment and Booking Manager.
  • Support the Entertainment and Booking Manager with event management tasks, including advancing and budgeting show needs.
  • Work on assigned show days to ensure smooth event execution, liaising with artists, clients, and event staff.
  • Ensure backstage and areas are set up, clean, and accessible, and coordinate the delivery of food and beverage to the band or talent as needed.
  • Organize the pickup and delivery of items during show days or in office hours as required.
  • Identify potential problems and flag them with the Venue Management team, negotiating solutions that meet the needs of internal stakeholders, 3rd party clients, and tours.
  • Uphold venue service standards and building rules and regulations, maintaining client satisfaction.
  • Assist in overseeing merchandise sales and tracking split between the show runners and GCE venue.
  • Record incidents and additional charges for shows and events, submitting show service reports to the Entertainment and Booking Manager.
  • Perform other duties as assigned.

Requirements

  • College or University Diploma in a related field; equivalent work experience will be considered.
  • Valid full G driver's license required.
  • Smart Serve Certification or the ability to achieve a Smart Serve Certification required.
  • CPR and First Aid Training an asset.
  • Previous administration experience required.
  • Previous experience in hospitality services preferred.
  • Previous experience in entertainment venue preferred.
  • Computer literacy, including efficiency with Microsoft Word, Excel, and PowerPoint, and experience working with event management software (ex. Tripleseat) an asset.
  • Excellent communication and interpersonal skills.
  • Exceptional organizational skills.
  • A consummate professional with experience.
  • Self-starter and ability to work independently.
  • Thrives on working under pressure – making decisions quickly while under pressure.
  • Ability to multi-task and work in a fast-paced environment.
  • Experience working with financials and budgets.
  • Excellent negotiation skills, team-oriented.
  • Bilingual (English/French) an asset but not required.

Work Environment Considerations

  • Work within a 24/7 operation with ability to work flexible hours when required (days, evenings, nights, weekends, and holidays).
  • Must be willing to submit to a criminal record check with results acceptable to our organization, standards, and position.
