Investment Planning Counsel (IPC) is a leading independent wealth management company in Canada, dedicated to helping advisors build a better business through a remarkable client experience. We are seeking a highly skilled Client Experience Specialist to join our team.
Key Responsibilities
- Provide exceptional client service, responding to inquiries and resolving issues in a timely and professional manner.
- Manage the office calendar, coordinate client appointments and events, and document key information as required.
- Prepare meeting documentation for client and prospect meetings, and coordinate client account/trade instructions with the advisor.
- Ensure the accuracy of account/trade paperwork, financial plans, and follow up on account and transaction workflow and client meeting documentation.
- Optimize our CRM and software to fully support our business operations.
- Coordinate the client onboarding process, ensuring a seamless and exceptional experience for new clients.
- Work collaboratively with branch support staff, IPC Head Office, and other key stakeholders to support best-in-class office and client management.
- Escalate client matters in a timely manner, as warranted by the situation.
- Proactively seek ways to improve client service, new client onboarding, and operations, and provide feedback to ensure all opportunities for business improvements are captured.
Requirements
- 2-5 years of experience in an administrative assistant or advisor support role, preferably in a financial advisory firm.
- Outstanding communication and interpersonal skills, with the ability to communicate and work collaboratively with everyone.
- Exceptional organizational and time management skills, with the ability to multi-task, prioritize, and create and follow systems.
- Ability to provide a remarkable client experience, with the ability to anticipate client needs.
- Proficient in Microsoft Office365, Outlook, Excel, Word, Teams, and SharePoint, as well as CRM software (Salesforce, UVC).
- Knowledge of Univeris, FundServ would be an asset.
- Basic insurance knowledge would be an asset.
- Completion of or working towards completion of the IFIC, CSC and/or CPH would be an asset.
- Post-secondary diploma or degree in business, finance, economics, or other related discipline would be an asset.
