Job Description

We are seeking an experienced Project Coordinator to join our team. The successful candidate will be responsible for:

  • Project Administration:
    • Obtaining, reviewing, and tracking project bids
    • Assisting in contract and purchase order procurement
    • Reviewing and processing subcontractor and owner change orders
    • Managing all project files, including plans, permits, inspections, safety, contracts, change orders, insurance, billing, and supplemental information
    • Memorializing and distributing meeting minutes within 24 hours
    • Developing professional letters and memos as requested by the Project Manager
    • Ordering office and jobsite supplies and equipment
    • Answering and directing phone calls; assisting visitors
  • Project Safety:
    • Establishing and maintaining safety files, including subcontractors' IIPP, subcontractors' and internal weekly safety meetings, incident reports, and related paperwork
    • Administering and controlling subcontractors' insurance; overseeing OCIP/CCIP enrollment
  • Project Accounting & Finance:
    • Collecting and submitting all necessary back-up for monthly subcontractor billing, as needed by accounting staff
    • Reviewing and coding project invoices and expenses for Project Manager approval
    • Tracking and reporting project costs and budget
  • Project Team & Partnership:
    • Developing and maintaining good working relationships with development partners, architects, consultants, engineers, subcontractors, other project specialists, and team members to achieve mutual goals
    • Organizing project-related tasks with key contributors to ensure adherence to project goals
  • Project Close Out:
    • Soliciting and preparing project close-out documents for developer review and acceptance
    • Maintaining and disseminating punch lists
    • Filing and storing all project documents, furnishings, etc.
    • Cancelling all project accounts
    The Successful Applicant

We are looking for a highly skilled and experienced Project Coordinator who:

  • Has at least 5+ years of high-rise residential construction experience locally in Canada (preferred)
  • Possesses strong English written and verbal communication skills in dealing with owner groups, trades, and consultants
  • Excels in a team environment but can also work independently
  • Has strong attention to detail and organizational abilities
  • Is proficient in Microsoft Office
  • Has knowledge of construction drawings and specifications
  • Understands construction and technology methods
