Job Overview

The Air Line Pilots Association, International (ALPA), a leading aviation union, is seeking an Operations Assistant to support its Toronto office. As the primary backup for the Administrative Assistant/Receptionist, this role will provide critical support in various administrative tasks.

Key Responsibilities:

  • Provide word processing and proofreading services for various documents, including letters, reports, briefs, contracts, and news updates.
  • Take notes at meetings, create drafts, and distribute materials as required.
  • Assist in compiling data for reports and maintaining current files.
  • Duplicate, collate, and distribute documents as directed.
  • Order supplies and make travel arrangements as needed.
  • Answer phones, receive visitors, and provide general information or route callers to relevant personnel.

Requirements:

  • Secondary School Diploma (SSD) or equivalent education required; some post-secondary education preferred.
  • Two years of related experience or equivalent combination of education and experience.
  • Strong customer service skills and ability to work effectively with diverse contacts.
  • Proficiency in Microsoft Office applications and ability to maintain web-based applications.
  • Able to work flexible hours on short notice as needed.

Salary and Benefits:

This position offers a competitive salary range of CAD $62,144.00 – CAD $83,026.00 per year, plus benefits, including 27 days paid vacation, generous sick leave, company-paid health insurance, life insurance, and RRSP contributions.

Work Environment:

The ideal candidate will have excellent communication skills, diplomacy, and tact to interact with all levels of contacts. The role requires regular interactions with member pilots, officers, committees, vendors, and consultants. Occasional travel within Canada may be required.
